Terms & Conditions of Hire

1. Definitions & Scope

In these conditions, “The Company” refers to Wings Events Limited. “The Hirer” refers to the person, organisation, or firm hiring equipment. “The Equipment” covers all marquees, linings, wooden sub-floors, vintage pine dance floors, tables, chairs, lighting, heating systems, generators, and accessories hired.

2. Quotations & Booking Confirmation

Quotations remain valid for 30 days unless otherwise agreed in writing. A booking is confirmed once a deposit (typically 25%) has been received along with a signed booking confirmation or written email agreement. The outstanding balance is payable prior to or on the date of installation.

3. Site Access & Ground Conditions

• Clear Access: The Hirer must ensure safe, unobstructed vehicular access to the installation area for delivery vehicles and trailers.
• Underground Services: The Hirer must clearly mark or notify The Company of any buried pipes, electrical cables, gas lines, drains, or septic systems prior to staking. The Company takes reasonable care but accepts no liability for damage to unnotified underground services.
• Level Ground: While our sub-floors accommodate natural lawn undulations with levelling packers, extreme slopes or heavily waterlogged terrain must be inspected during our free site survey.

4. Installation & Dismantling Schedules

Installation and collection schedules are agreed in advance. Build days are typically scheduled 1 to 3 days prior to your event to allow ample time for florists, caterers, and interior styling. Take-down occurs promptly following your event.

5. Equipment Care & Safety

• No Open Flames: Naked flames, open fire pits, indoor barbecues, and fireworks are strictly prohibited inside or within immediate proximity of the marquee structures.
• Wall Fastenings: In the event of forecasted gale-force winds or severe weather, all window walls and entrance doors must be kept securely laced and zipped to preserve structural aerodynamic stability.
• Prohibited Additions: Sticky tape, staples, drawing pins, and spray paints must not be applied to the canvas, aluminium uprights, or wall fabrics.

6. Adverse Weather

Our commercial clearspan structures are engineered to high British commercial wind and snow load standards. In the rare circumstance of severe weather warnings (such as named storms with wind speeds exceeding safety limits), The Company reserves the right in the interest of public safety to advise on emergency procedures or postpone erection.

7. Cancellation Terms

If a booking is cancelled by The Hirer, written notice must be provided immediately. Deposit fees cover reserved dates and scheduling allocations. Where cancellations occur within 30 days of the scheduled event date, The Hirer may be liable for up to 50% of the contract value; cancellations within 14 days may incur up to 100% of the total hire fee, reflecting committed crew, vehicles, and equipment reserving.
